We are seeking a highly organized and detail-oriented Executive Assistant Intern to join our team and provide essential administrative support for our mobile app. As an Executive Assistant Intern, you will be responsible for assisting the executive team and ensuring smooth operations and communication within the organization. Your role will involve managing schedules, coordinating meetings, handling correspondence, and providing general administrative assistance. This is a critical position that requires strong organizational skills, excellent communication abilities, and the ability to multitask in a fast-paced environment.

Responsibilities:
  • Manage and maintain executives' calendars, including scheduling and coordinating meetings, appointments, and travel arrangements.
  • Act as a point of contact between executives and internal/external stakeholders, handling correspondence, emails, and phone calls with professionalism and discretion.
  • Prepare and edit documents, presentations, and reports for executive team members, ensuring accuracy and consistency.
  • Coordinate and organize meetings, conferences, and special events, including logistics, agenda preparation, and follow-up tasks.
  • Take minutes and accurately document discussions and decisions made during meetings, distributing them to relevant individuals in a timely manner.
  • Assist in preparing and monitoring budgets, expenses, and financial reports as needed.
  • Conduct research, gather information, and compile data to support executive decision-making and project management.
  • Handle confidential and sensitive information with utmost discretion and maintain a high level of confidentiality.
  • Manage and prioritize incoming requests and tasks, delegating as necessary and ensuring timely completion.

Requirements:
  • Bachelor's degree in Business Administration, Communications, or a related field (or equivalent work experience).
  • Proven experience as an Executive Assistant or in a similar administrative role, preferably in the tech industry or mobile app sector.
  • Exceptional organizational skills and the ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong written and verbal communication skills, with excellent attention to detail and accuracy.
  • Proficient in using productivity tools and software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or equivalent.
  • Ability to handle confidential and sensitive information with the highest level of professionalism and integrity.
  • Strong interpersonal skills and the ability to interact effectively with individuals at all levels, both internally and externally.
  • Proactive mindset with the ability to anticipate needs and provide proactive support to executives.
  • Excellent problem-solving skills and the ability to work independently with minimal supervision.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Knowledge of project management principles and tools is a plus.
  • Familiarity with mobile apps or the technology industry is a plus.
