Project Coordinator- Medical Communications

Transcend Medical Communications, LLC, is a full-service scientific medical communications company that specializes in strategic promotional education initiatives worldwide. The Project Coordinator will support the Project Management team in the implementation of cost-effective, timely, medical communications projects for a variety of clients.
The corporate office is located in Voorhees, New Jersey, just outside of Philadelphia. Due to COVID-19, the company is currently working in a remote environment. This role can be 100% remote.
Projects may include promotional or educational exhibit booths and activities, patient materials and programs, advisory boards, working groups, roundtable/patient meetings, teleconferences/webcasts, publications, clinical posters, monographs, newsletters, and/or speakers’ bureaus.
RESPONSIBILITIES:
  • Assists in the development of project launch documents
  • Gathers and prepares project-related materials including faculty invitation letters and correspondence, on-site meeting materials, client status reports, promotional invitations and materials, etc.
  • Serves as liaison with faculty advisors to ensure appropriate scheduling and manages faculty documents including confidentiality agreements, W-9, fee for service, expense forms, etc.
  • Makes follow-up phone calls to support live programs, as needed
  • Manages most aspects of projects autonomously, including tasks such as the development of timelines, invitation text, and faculty correspondence
  • Collaborates with all internal teams (Editorial, Creative Services, Meeting Services, Information Technology, Fulfillment Services and Accounting staff) in the delivery of projects
  • Weekly/monthly reporting as instructed by Associate Director, Account Services for extended projects
  • Performs project-related research and data entry
  • Updates group capabilities binders and presentation materials
  • Manages program files
  • Travel may be required. (up to 20% including nights and weekends)

QUALIFICATIONS AND SKILLS:
  • Bachelor’s degree (B.A.) in Communications, Marketing, Business or related field, from a four-year college or university, and a minimum of 1 – 2 years’ work experience required. Medical Communications or Medical Education experience preferred.
  • Must be a self-starter, able to work in a team environment
  • Must demonstrate proficiency in Microsoft Office, including Word, Excel and Power Point
  • Superior organizational and time-management skills are required
  • Attention to detail, excellent verbal and written communications skills are also a must
