Job Description

The Software Implementation Assistant will undertake a variety of client-facing and internal software implementation and administrative duties. You will facilitate and assist other implementers and the implementation team with software configuration (fields, workflow, templates, dashboards, reporting, permissions, training, optimizations, check-ins, and other implementation duties), this includes but not limited to assisting with implementation task assigned by other implementers and management, status review, check-in calls/meetings, reporting, assist with training and business requirements. The ideal candidate will be task oriented and have a broad knowledge of business software implementation (or prior experience with software configuration or software training) as well as general administrative and business responsibilities. The ideal candidate must be able to work autonomously and efficiently with a team to ensure the end-to-end of assisting with software implementation training, and related implementation tasks. To succeed in this role, one should have a keen eye for detail, understand complex requirements, document well, good communication skills, good customer service and follow-up skills, time management, and familiar using business software and tools, good task management skills, and experience with software implementations.
The duties and responsibilities of the position include but are not limited to:
• Understand CobbleStone company, policies, and procedures
• Assist, schedule, and help with client-facing software implementations included herein.
• Working understanding of CobbleStone Products and features &
• Understanding of CobbleStone Training and implementation process
• Assist and facilitate the implementation process; ensure projects are on time or adjusted as approved by client and/or manager.
• Set timeline and dates with clients, schedule client’s activities in advance
• Lead all aspects of a client’s implementation assigned.
• Gather business requirements as necessary and apply detailed working knowledge of CobbleStone products and features to support the client’s business.
• Meets team’s goals of go-lives per year
• Assist with creation of configuration documents for setup and use of CobbleStone’s products and train clients appropriately.
• Recommend implementation of features and functions where appropriate.
• Respond to internal and external related inquiries or requests and aid with implementations
• Coordinated software implementation activities between our clients, implementation staff, trainers, sales staff, and IT department.
• Document client goals, project goals, scheduling, reporting of events and ensure the overall implementations are on-time and successful.
• Schedule calls, meetings, tasks, planning events, implementation, training, maintain the team’s agenda
• Coordinate training sessions, requirement meetings, and work sessions
• Perform and attend kick-offs, project planning, and guidance with CobbleStone software implementations
• Produce and submit reports on general activity; identify risk, slack, and assist with optimization of project
• Assist in ad-hoc projects, like collection client feedbacks, checklist, support items
• Work with CobbleStone team members, where necessary, to create and manage training materials.
• Professionally manage client complaints as it relates to the Project Manager duties and related customer activities7
• Track and report on metrics with open project, closed projects, workloads, complaints, delayed projects/items, go-lives, cancels and other related implementation activities
• Communicate with client throughout the implementation project life cycle. • Actively handle implementation as a minor role as workload permits
• Assist clients with post-live support questions when needed.
• Mentor new hires and delegate routine duties
• Retain confidentiality obligations of company policies and those if its clients.
• Maintain a high level of customer satisfaction and assist with other duties
• Assist with other work-related duties
Requirements
• Proven experience or equivalent education as a software coordinator or relevant project administrative position
• Knowledge of business software implementation, requirements process and best practices
• Strong ability in using business software, MS Office (MS Excel and MS PowerPoint, Scheduling, web meetings, task management tools, in particular)
• Experience with business software, spreadsheets, databases systems (legal software or legal administration experience a plus)
• In-depth understanding of project management tools a plus
• Outstanding communication and interpersonal skills; must be able to travel [often overnight for 3 to 5 days at a time]
• Ability to handle data with confidentiality
• Proficient in the use of computers, business software, operating systems, tablets and mobile devices. • Good organizational, time management skills and customer service skills • Excellent organizational, time manage, and project management skills.
• Highly motivated self-starter capable of working independently.
• Excellent interpersonal and human relations skills.
• Excellent written, verbal and presentation skills.
• Able to communicate technical concepts to non-technical personnel.
• Able to work with people of varied technical backgrounds and management levels.
• BSc/BA in Business Administration or relevant field will be a plus Hiring Standards:

• Education:
o A Bachelor’s degree in Business, Computer or Management Information Systems or related field – OR- Equivalent Experience.
• Experience: o Entry-level to 2 years of experience with software implementations or software training at a professional level.
o Prior experience or college related courses with basic project management skills. o Prior experience in a client facing position required.
o Experience with web-based software is a plus.
• Miscellaneous:
o Must have excellent English communication skills. o Must be able to legally work in the United States. o May require travel onsite to clients.
